Your rental includes:
- Table and chair set up according to your customized floor plan.
- Onsite events manager.
- Tables for Dj, buffet, gifts, registration, etc.
- Coordinating and hiring of all bartenders and security staff.
- Customized marquee message on the day of your event.
Rental Spaces
Yergens Rogers Foundation Ballroom
The ballroom offers a two-tier viewing experience, a central staircase, two bars, a catering kitchen, and the Parkview Health Rooftop. Guests will access the venue through the charming Indiana Hotel Lobby, an ideal spot for hosting a cocktail hour. They can enjoy stunning downtown views from both levels of the ballroom and the Parkview Health Rooftop.

- Mixer (cocktail set-up) for up to 400 guests
Spaces included with the rental of our ballroom include the Yergens Rogers Indiana Hotel Lobby and the Parkview Health Rooftop.
Robert Goldstine Theater Lobby
The domed Theatre Lobby serves as an impressive venue for your special event. The Grand Staircase provides an ideal setting for a wedding ceremony, and the second-floor overlook offers a stunning view of the lobby’s grandeur. This space includes 2 bars, a catering area, and convenient access to the street level.

*Note: The Robert Goldstine Theater Lobby has limited availability for rent and does not include access to the auditorium or stage.
Yergens Rogers Indiana Hotel Lobby
This elegant two-tiered area is ideal for smaller gatherings, boasting Italian tile floors and timeless chandeliers. Complete with a private bar, catering area, and a mezzanine level overlook. This space is available for separate rental or is included with the Yergens Rogers Foundation Ballroom.

The Madge Rothschild Mezzanine Lounge at the Embassy
This area is ideal for small ceremonies, cocktail receptions, and intimate dinner gatherings, complete with its own bar. Situated on the second floor of the Embassy, the Mezzanine Lounge offers a charming setting. This space will comfortably accommodate 40 to 70 people.
Catering Information
The Embassy collaborates with local restaurants and catering companies to offer personalized food services for special events.
Alcohol
To ensure a safe atmosphere, all alcoholic beverages must be served by the Embassy Theatre Foundation, Inc. No outside alcohol is permitted, and drinks cannot leave the premises. Embassy staff may limit alcohol consumption. Contact your event coordinator for private bar menu options.
Building Regulations
Please ensure all candles are enclosed in glass with the flame not exceeding the glass enclosure. Any hanging items must be approved in advance. Items cannot be secured to the walls using adhesive, tacks etc. Refer to the contract for prohibited decorative materials at the historic Embassy Theatre and Indiana Hotel Lobby or contact your event coordinator directly with questions.
- This is a smoke-free facility and via City Ordinance, smoking is prohibited in front of the building.
- To protect the restored 1928 plaster and fixtures all sound levels (including DJ’s and live bands) must be kept below 95 decibels.
Security Embassy security is required for ALL events taking place in our facility.
Booking An Event
All rental prices are for an eight (8)-hour maximum block of time, including set-up and tear down. Additional hours will be assessed at an hourly rate.
The Embassy will hold your event for 14 days with no obligations. You have first refusal rights. If another party wants to rent the room, the Embassy will contact you and you must decide at that time if you wish to proceed. Signing a contract and providing a deposit guarantees the rental space.
Payment A deposit of fifty (50) percent of the room rental and all applicable tax is due two weeks from the contract date. The balance of fees (i.e. room rental, rental equipment, security, etc.) will be due thirty (30) days prior to your event. All deposits are non-refundable and all charges must be paid in full prior to your event.
Wedding Rehearsals Individuals renting one of the Embassy’s spaces for their wedding ceremony, will be permitted to a maximum of one (1) hour of rehearsal time prior to their ceremony. This 1-hour block of time is subject to availability. All rehearsals must be concluded by 6:00 p.m.
Embassy Marquee The Embassy marquee is available ONLY for events taking place in this facility. Your event message will run in rotation with the other events in the building.

Vendors: If you are in need of further vendor information, please reach out to your event coordinator.
Parking: Paid parking is available at the Civic Center Parking Garage located off of Jefferson Boulevard and Calhoun Street or at the Harrison Square parking garage located off Harrison Street. For evening (after 5 p.m.) and weekends, free parking is available at all downtown metered parking spaces. Downtown parking map.
- Fee: $250.00 per hour, minimum of one hour
- Photo shoots must be scheduled at least two weeks in advance and are subject to availability.
- The stage and auditorium are not included.
